Please ensure you provide the following where appropriate:
Framed Work provided in a reusable sleeve, labelled with your name, artwork title and booth number (label printed off via the artist portal). Hanging requirements are D rings and string (No mirror plates)
Browser edition (unframed edition from the same series) wrapped in cellophane and backed with card. One per artwork please.
Regional Drop off Service
With the help of our supportive partners, we have collated a list of Drop Off Locations around the UK, where exhibiting artists can drop off their work to then be transported to the event.
This is a free service.

Framing Service
Imprint Framing service was launched to help provide artists with simple, high quality framing at low prices. Simply input the dimensions of the work and choose from our range of frames & mounting options to recieve an upfront quote.

Framing is a crucial element in collecting fine art. Not only can a frame enhance the way that a piece looks, but it also plays a key role in protecting the artwork.
We recommend you get your original print professionally framed as soon as possible so you can enjoy it right away, without causing any damage to it.

Disproportionately high frame prices can be off-putting to collectors. With this in mind, we have launched Imprint Framing to provide competitively priced exhibition-ready frames, which are subsequently delivered directly to the Fair.
Just fill out the form on your artist portal and we provide a commitment-free quote up front. This means you have greater freedom to compare prices, which in turn drives down the cost of framing.
If you’re happy with the price, send it or drop it off at The Frame House in Consett and we’ll get to work right away (information below).

While we understand framing can be expensive, presentation is key when exhibiting, and can often be the difference between making a sale and your work remaining unsold. With this in mind, please ensure you have read the following:
Selected artwork for the Fair must be framed and ready to hang.
All frames must be of a professional quality; no clip frames will be accepted.
The name of the artist, title of the work and booth number must appear on the back of the framed and browser works.
Remember to sign/edition your work (if required) before having it framed.
Please note that Imprint reserves the right to refuse any poorly presented work.
Imprint Framing can be a more economical option if you’re not based in the UK, as it drives down the cost of international delivery.
We will organise delivery from the framers to the Fair on your behalf, free of charge.
The deadline to get your work to our framing studio is 30 September 2026.

Artists are responsible for all shipping costs, including courier fees, customs charges, and any return costs if applicable. Works must arrive by 16 October 2026.
Packaging Requirements
To ensure your work arrives safely:
Ship prints flat wherever possible (preferred).
Use archival tissue or glassine to protect the print surface.
Sandwich prints between rigid boards (e.g., foam board or thick card).
Use strong outer packaging with corner protection.
Clearly label the package: “Fine Art Prints – Handle with Care.”
Avoid using tubes unless absolutely necessary, as rolled prints may need time to flatten before framing.
Customs & Documentation (For Artists Outside the UK)
Since the UK is outside the EU customs union, all international shipments must include proper customs documentation.
Required Forms
Commercial Invoice (3 copies recommended)
CN22 or CN23 customs declaration (depending on shipment value and courier)
Any courier-specific paperwork (DHL, FedEx, UPS, etc.)
How to Complete the Commercial Invoice
Include:
Sender’s full name and address
Recipient address (as above)
Description of goods:
“Limited edition fine art print on paper”
HS Code (recommended):
9702.00.00 (Original engravings, prints and lithographs)

Reason for export (see below)
Important: Declare Correctly
To avoid import VAT and customs charges, clearly state: “Artwork sent on consignment. No transfer of ownership. For exhibition and potential sale.”
If the works are unsold and returned to you, this wording supports temporary export status. You may also consider using the term: “Temporary export for exhibition”
Check with your courier about whether they offer:
Temporary admission procedures
Returned Goods Relief (RGR)
ATA Carnet (usually for high-value shipments)
Additional Recommendations
Keep digital copies of all paperwork.
Photograph the print and packaging before dispatch.
Share tracking information once shipped.
Allow extra time for customs clearance (especially during peak periods).
