Sales Process for Participating Artists

This guide explains how sales are handled before, during, and after the fair.

Bank Details - Required Before the Fair

All artists must upload their bank details via the Artist Portal prior to the fair.

This ensures:

  • Automatic payment processing

  • No delays in receiving funds

  • Secure transaction handling

Payments are made at the point of sale, minus:

  • 40% fair commission + VAT on the commission

Failure to upload bank details in advance may delay payment.

What Happens When a Sale Is Made

When a collector purchases your work, the system will:

  1. Process the payment immediately.

  2. Deduct the fair’s 40% commission + VAT.

  3. Automatically transfer the remaining balance to your registered bank account.

  4. Generate a sales record in your Artist Portal.

You will receive confirmation through the portal.

Collector Fulfilment Options

At the point of purchase, the client may choose one of the following:

A. Collect at the Fair

The collector may take the work directly from the fair.

B. Shipping

The collector may request that the work be shipped.

  • Artists must dispatch the work within 7 days of receiving the order.

  • You are responsible for safe packaging and appropriate shipping arrangements.

C. Unframed Version (Direct from Artist)

If a client chooses to order an unframed edition, you must:

  • Produce and dispatch the unframed print

  • Ship within 7 days of the order

  • Ensure professional packaging standards

Accessing Sale Details

For every sale, you can download via the Artist Portal:

  • Collector’s name and contact details

  • Delivery address (if applicable)

  • Selected fulfilment option

  • Full breakdown of the sale:

    • Retail price

    • Commission deducted (40%)

    • VAT on commission

    • Net amount paid to you

Please ensure you regularly check your portal following the fair.

Shipping Timeframe

Artists must ship all works within 7 days of the order date.

Prompt fulfilment ensures:

  • Professional collector experience

  • Compliance with consumer protection regulations

  • Protection of your reputation and the fair’s standards

Tracking information should be retained and shared where required.

Returns Policy

Collectors have the right to return the work within 14 days of receipt.

If a return is requested:

  • The work must be returned in original condition.

  • Once received and inspected, the sale will be reversed.

  • The artist portion of the payment will be reclaimed accordingly.

Clear communication and careful packaging help minimise return issues.

Important Notes

  • Ensure edition numbers are recorded accurately.

  • Keep copies of shipping receipts and tracking.

  • Respond promptly to any collector communication.

  • Maintain professional presentation and packaging standards.
