Declaration Forms & Compliance
All exhibitors are required to complete and return the necessary compliance documentation prior to installation.
Participation in IMPRINT is conditional upon receipt of the required forms and supporting documentation.
All documents must be submitted by 05 October.
Failure to provide the required documentation may result in refusal of installation access.
Required Documentation
The following forms must be completed and returned:
1. Health & Safety Declaration
All exhibitors must confirm compliance with venue and event health & safety requirements.
This includes:
Safe installation practices
Use of appropriate fixings and equipment
Electrical compliance (where applicable)
Manual handling procedures

2. Risk Assessment Form
Each exhibitor must submit a completed Risk Assessment covering:
Installation activities
Equipment usage
Electrical items (if applicable)
Potential trip hazards
Display structures or plinths
The risk assessment should reflect the specific nature of your booth and installation.

3. Public Liability Insurance (PL)
All exhibitors must provide proof of valid Public Liability Insurance covering the duration of:
Installation
Fair dates (28 October – 1 November)
De-installation
Minimum recommended cover: £5 million
A copy of the insurance certificate must be submitted in advance.

Exhibitors without valid insurance will not be permitted to install.
Artwork & Edition Declaration
In addition to operational compliance, exhibitors must confirm:
Accuracy of edition sizes
Authenticity of works
Transparency of pricing
Compliance with copyright and image rights
This declaration protects both exhibitors and collectors.

Please Note: Compliance documentation is a mandatory condition of participation.
Exhibitors who do not submit completed forms by the stated deadline may be denied installation access and/or participation in the fair.
